Property Manager Job Description

THIS IS A FULL-TIME SALARY POSITION REPORTING TO THE SENIOR PROPERTY MANAGER
Scope of Responsibilities
Within the spirit of “Making People’s Dreams Come True,” this classification is responsible for execution of tasks and deliverables.
• Receive tactical direction from senior management.
• Execute programmatic goals and objectives through performance of assigned tasks.
• Perform tasks and assignments applying subject knowledge, judgement, and initiative.
• Exercise direct supervision over assigned portfolio, projects, systems, or assigned team members.
• Receive work assignments in terms of team objectives, and specific tasks in terms of individual and collective priorities and deadlines.
• Work is reviewed for individual technical accuracy, compliance to programmatic and team goals and objectives, portfolio budget management, and timely independent task execution.
• Responsible for 100% of allocated portfolio budget development and management.
Essential Duties and Responsibilities

• With the “Handshake of the host” approach, develop and maintain partnerships with Hometown Business Partners (Tenants), interdepartmental partners and external partners.
• Conduct routine site visits to Tenant’s physical location(s) within the assigned portfolio.
• Schedule, arrange and coordinate a variety of complex meetings including multiple departmental attendees.
• Develop and maintain Tenant retention policies and procedures through person-to-person interactions and partnership development..
• Identify potential opportunities for Tenant’s business operation within the assigned portfolio and inform Senior Property Manager.
• Identify potential opportunities to increase Tenant and Customer experience within the assigned portfolio and inform Senior Property Manager.
• Directly manage, respond to, and execute Accounts Receivable collection efforts.
• Audit and validate annual CAM reconciliations.
• Work in conjunction with facilities management program to implement the maintenance of the structure and equipment. Ensure efficiency and reliability of operations at lowest cost while maintaining first-class operations.
• Perform periodic property inspections as oversight of facility management responsibilities; engage with Facilities program leadership for any issues.
• Work with Commercial Construction regarding tenant physical improvements, initial move in and final move out in conjunction with the Commercial construction team.
• Handle/review all tenant accounting to include rent rolls, invoicing, etc.
• Act as a liaison for the building owner to enforce lease requirements between the tenant and the landlord.
• Address disputes regarding boundaries, easements, and covenants with stakeholders.
• Monitor tenant performance and coordinates tenant correspondence.
• Evaluate tenant issues and make recommendations to the Senior Property Manager of action to be taken.
• Work in conjunction with the Senior Property Manager to implement lease administration and property management. Manage and conduct regular tenant visits to build rapport. Identify and address tenant concerns.
• Receive, review, and process CRFs (contract requests) to ensure property, budget, and coding information is correct.
• Fully understand and enforce Villages Design standards and criteria; review & process DRFs (Design Requests) for tenants and as submitted by facility managers.
• Interact with retail, industrial and office tenant properties and franchise community.
• Establish operational budgets, perform accounting audits, develop and deliver executive reports and invoice approval.
• Process, code, approve, and verify invoices for payment.
• Work to create quality standards and develop standard operating procedures as they relate to operational activities.
• Establish daily communication and a mutually productive working relationship between Commercial Property Management staff, Leasing department and accounting department, as well as other Village's business partners.
• Act as liaison to public utility, environmental and energy agencies.
• Maintain up-to-date industry knowledge on latest technology/upgrades in construction industry as well as commercial property leasing trends.

Participation in On-Call rotation schedule for after-hours & weekend response to CPM-wide facility, tenant, and resident maintenance issues
• Other duties as assigned.
Educational/Experience Requirements
• Bachelor’s degree in Business, Real Estate, Facility Management or Construction Management preferred.
• BOMI, ICSC, IREM, IFMA or other equivalent certifications preferred.
• Minimum of 5 years related experience and/or training; or equivalent combination of education and experience required.
• Applicant must possess working knowledge of commercial building systems, including but not limited to HVAC, plumbing, electrical, and life safety.
• Experience with Property Management Software is preferred.
• Applicant must have strong working knowledge and use of Microsoft Office software including Word, Excel, and Outlook as well as excellent written and oral communications skill.
• Applicant is required to have a valid Florida driver’s license with a driving record acceptable to company standards.
Supervisory Responsibilities
• No direct reports
• Carry out management responsibilities in accordance with the organization's policies and applicable laws.
• Must be available at all times for emergencies as directed.
Language Skills
Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to effectively present information and respond to questions from CPM Department Management, Accounting Department Management, Staff, Vendors, and Tenants. English is required for oral and written communications.
Mathematical Skills
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
Work Environment
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee is frequently exposed to outside weather conditions. The employee is frequently exposed to risk of electrical shock. The employee is frequently exposed to wet and/or humid conditions, and extreme heat.
The employee is occasionally exposed to high precarious places; fumes or airborne particles; toxic or caustic chemicals and risk of electrical shock; moving mechanical parts, extreme cold, and vibration. These conditions are based on the type of facility being managed and will vary. The noise level in the work environment is usually moderate but can be extremely loud depending on worksite.
